Purpose Statement

·

To ensure an accurate on-time-in-full

Tax Stamp procurement cycle for larger

FMC

factories

and act as the key operational contact for Customs & Excise authorities when issues, whereby excellent relationships are build up in order to obtain flexibility when needed and guarantee banderol availability for production planning and supply of product.

·

To take care of

Supply Chain budget administration and analysis

to ensure costs are justified, are within budget and accurate forecasts are submitted.

·

To support the Logistics manager in establishing

analysis and simulations

for whole Logistics Department’s scope, formulating/implementing process improvements or system changes and providing

project input.

·

To act as a

back-up

for tax stamp responsibilities of

Tax stamp executive

& perform

inbound

tasks for Inventory executive on 4/5

th

days.

Key Accountabilities

i.

Responsibilities / Operations/ Professional/ Business

Tax stamp / inventory process :
·

To be responsible for the Tax Stamp procurement cycle for bigger

FMC

factories (

Bayreuth

, Augustow + MTO Jawornik). The banderol tasks consist of ensuring timely receipt of orders from factories, validation of orders & bank guarantees, communication and order placement at ministry, goods receipt, organising transport to factories, instructions for printing and cutting, administration for destroyed stamps and month-end reconciliations. All this needs to happen in line within

SLA

guidelines, in order to respect

insurance, legal or internal BAT rules and stock policies.

·

To organize the periodic physical destruction of banderol waste for factories in scope after thorough verification of prepared waste sheets.

·

To prepare all inventory and excise related files for periodic physical destructions of Finished goods.

·

Contribute to stock counts at Factory, Logistic Partners,

TMR

·

Attend monthly Master Data meetings to understand planned marketing activities and impact on banderol management.

Analysis & Project support:
·

Establish management information and carry out analysis & simulations w.r.t. banderol- or excise management, logistic partner operations or master data management.

Budget Handling :
·

To take care of necessary

SRM

creations/maintenance to reflect budget needs.

·

To guarantee that all Belux Supply Chain invoices of all 3rd party providers are timely coded and are in line agreed tariffs and rendered services. Spot checks are required to control charges versus

SAP

orders & deliveries.

·

To prepare Coplan-QPR budget exercises for revision by Logistics manager and sign-off by

Benelux

SC

manager.

·

Responsible for SC budget tracking tool and alignment with final

SAP

bookings.

Back-up

·

To act as a back-up for tax stamp responsibilities of Tax stamp executive

·

Perform inbound tasks for Inventory executive on 4/5th days

ii.

Management

·

Deliver analysis as input for Logistic or Finance projects

·

Monitor & control own tasks by delivering :
i.

appropriate TS ordering , avoiding unnecessary Working Capital/Cash Flow deployment and out of stocks.

ii.

accurate inventory records of Tax stamps in both own systems & factories, to avoid financial losses

iii.

timely destructions of unnecessary Tax stamps & follow-up

iv.

analysis of actual budget spent & make proposal for QPR & provisions for review by Logistics manager and sign-off by

Benelux

SC

manager.

v.

To identify and report on all relevant issues/evolutions to line manager

·

Document Supply Chain process & systems flows.

·

Assist Logistics Manager in Rep depot handling by co-ordinating moves/changes between Field / Logistic Partner and keeping the master file up-to-date.

iii.

Leadership

·

Contribute to good team work and appropriate communication flows

·

Challenge ways of working in a constructive manner and tackle issues pro-actively

·

Structure and organize the own tasks optimally to avoid disruption in the business flows and allow necessary support for team members to cope with bottlenecks

iv.

Relationship

·

Establish and maintain excellent communication channels & relationships with Customs & Excise

Authorities & Tax stamp offices factories, in order to guarantee smooth operational processes & obtain flexibility when needed.

·

Contribute and participate actively in the Logistic Team-, Master Data meeting as well as the Logistic Service meetings when relevant.

·

Closely collaborate & communicate with respective BAT departments to achieve high performance standards.

v.

Innovation

·

Take initiative and provide input in developing reports and dashboards.

·

Formulate suggestions to improve the Supply Chain processes or monitoring.

·

Assist

in

SAP

(regression) testing

·

Actively assist the

Logistics Manager in implementing new

SLA

’s, working procedures and other processes.

Essential requirements

·

University degree

·

First working

experience in planning /supply chain environment is a plus, preferably in a FMCG company

·

Solid PC literacy (MS applic - esp. excel) - business knowledge of

SAP

is a plus

·

Good analytical skills and works with precision

·

Problem solving spirit and self starter with focus on continuous improvements

·

Stress resistant and team player

·

Good communication-, influencing- and leadership skills.

·

Fluent Dutch & French (written & spoken) and good knowledge of English (written & spoken)
